The Makenzie House  ·  Systems Build Status

What's built, what's up for sign-off & what's next

A plain-English view of every automation and buildout in flight — grouped by what it actually does, not by internal ticket names. Tick items off as you review them; your progress is saved in this browser.

3 builds — complete, awaiting a spot-check before we mark them done

These are finished and working. They just need your walk-through / confirmation so we can close them out and hand over the documentation.

  • Final Wedding Details Form — one-click send To hand over
From an Airtable screen, pick any paid couple and hit a button to generate their Final Wedding Details Form pre-filled with their record, then auto-email it to them. No more manual link-building or mismatched data.
  • Automatic invoice line-item pull from Dubsado To hand over
When the Final Wedding Details Form is submitted, an automation pulls each invoice line item (name, quantity, total) from Dubsado into a clean field on the client's record — reconcilable data ready for your AI tooling.
  • AI-built knowledge base / documentation To hand over
All your existing SOPs, Looms and process docs consolidated into a single standardised documentation artifact in your Airtable base — same format as the Eventure Design & School of Bots deliverables.

💷 Finance & Receivables dashboards — accuracy

Making the money numbers on your dashboards trustworthy for forecasting and investor updates.

  • Fix “Revenue / Receivables Collected This Month” card Queued to build
The card counts payments outside the current calendar month. Correct the date logic so it shows only this month's collections.
  • “Receivables Expected This Month” missing clients High
Clients with payments due this month (e.g. deposits + payment plans) aren't surfacing on the Finance dashboard, breaking cash-flow forecasting.
  • Same card only showing a fraction of expected revenue High
The “expected this month” total surfaces only a couple of clients / ~$350 when far more is due — needs the same date-filter fix applied end-to-end.

🧾 Invoicing & payment-status fixes

Getting invoice records and paid/partial statuses to reflect reality.

  • Invoices (Receivables) table import errors High
The invoice-number field (and a few others) are erroring, which stops invoice data importing correctly.
  • Vendor invoice showing wrong paid status Medium
Isolated vendor invoices (e.g. Carino Social Events on a project) don't reflect “Fully Paid” while all others do.
  • Invoice stuck “Partially Paid” at zero balance Low
An invoice reads Partially Paid even though payments total the full amount and the balance is zero.

📊 Event cost & profit tracking

  • Per-event cost, profit & margin totals Medium
Auto-total all vendor payments per event, then show total profit (client paid − actual cost) and profit % alongside it.

📈 Sales & conversion dashboards

Visibility from first enquiry → tour → booked client, plus venue utilisation.

  • Central Sales / pipeline dashboard High
Track consultations booked vs completed (weekly & monthly) and which leads convert to paying clients — linking leads through to the Paid Clients table.
  • Tour-to-client conversion dashboard Medium
Show the conversion rate of people who booked a tour and became a client.
  • Venue occupancy dashboard High
Live occupancy metrics (weekly / monthly / quarterly / year-over-year) so you can track progress toward your 25%+ target, especially into Q4.

📥 Proposal & add-on form capture

Making sure every proposal / add-on submission flags the lead and pings Slack — so nothing is missed.

  • “Build Your Elopement” form → capture + notify Blocked
Wire this Dubsado form into the same flow as your other proposals: mark the lead “Quotes Requested” and notify the #quotes channel. (Currently blocked — needs a quick input from your side to unblock.)
  • “Events Add-On (V2)” proposal → capture + notify High
Treat the new Events Add-On (V2) proposal like the others: flag the Airtable lead as Quotes Requested and fire the Slack notification on completion.

🧩 Package templates & officiant-fee sync

  • Correct officiant fee on Simply Elopement & Tier 4 In progress
Align default line items with templates so the officiant fee reads $150 (not $125) on Simply Elopement, and Tier 4 includes the Hetero Wedding Officiant line item.
  • Link default line items into the Tier 4 template Medium
Tier 4 stays unlinked to its default line items even after manual adds — connect it the same way Tiers 1–3 and Simply Yours are set up.

✍️ Contract-signed → auto client stage

  • Auto-move client when contract is signed Medium
On contract signature, automatically move the client to “Partially Paid” or “Complete (All Done)” based on their invoice status — removing the manual step.

🔗 Officiant status automation

  • Sync officiant meeting + call-completed fields Medium
Link “Meeting Status” and “Officiant Call Completed” so marking one updates the other, and move both into the All-Inclusive Vendor Task section where they're now managed.

🔍 Duplicate detection

  • Duplicate-Leads view should catch all duplicates High
The “Check for Duplicate Leads” view misses real duplicates that exist in the Leads section — make it mirror them accurately.
  • Duplicate checker for Paid Master Schedule High
Same idea applied to paid clients — flag duplicate client names, help verify the valid project, and clean up tour-vs-event duplicates.

⭐ Google Reviews tracker

  • Dedicated Google Reviews table + auto-log Medium
A standalone reviews table (not tied to Paid Clients) capturing reviews from clients, attendees, photographers and vendors — with review emails parsed to auto-populate entries.

🍸 Sip & See registrant summaries

  • Weekly Slack summary of Sip-n-See registrants High
Every Thursday night / Friday morning, post a summary of the week's Sip-n-See registrants (from the Kit form) into the consult-tours-meetings channel.

🔁 Recurring team tasks

  • Recurring tasks in Airtable with reminders Medium
House the team's recurring tasks in Airtable and send Slack + email reminders with each task's due date.

🧷 Data cleanup — Health / Flag fields

  • Consolidate the duplicate flag fields Medium
There are two separate flag fields across the Leads and Paid Clients tables (incl. the new “HEALTH” flag) affecting interfaces and dashboards — consolidate them cleanly, keeping the leads flag visible.
